AVaStar came to the market in November of 2019. Excellent timing. With the world back to working order, AVaStar finds itself in a position to capture the moment.

The company was founded with audio-visual services front and center. Not to be mistaken for your average event management software with included audiovisual support, AVaStar saw a flaw in the market and took action.

BTR was able to get in touch with AVaStar, and you wouldn’t believe what we found.

Functionality

The app begins with the dashboard. At the top, you will notice the menu options. If you are new to the platform, the menu is designed to go right to left. That might seem off, but here’s why: the more “backend” tasks are configured over there, and as you go left, it becomes more employee-facing. This means after configuration, the main menu you need is closest to you.

The tool is property-based. This means it is not necessarily for the individuals with a warehouse for their audio-visual products. The first thing you need to set up is the property information. This includes billing information, event types, TEO defaults, contacts, etc.

In the app, you can set up general ledger codes. Service charges can be configured to have a start and end date and adjust to yours accordingly. This is done to account for past years and future years.

You can add the event’s budget. This will be for everything, and the system allows the user to generate budget versus actual reports.

Equipment usage is meant to be a forecast. This will help the users know when different equipment will be in and out of inventory.

There are workflow summary items designed for the staff to use daily and know what needs to be done regarding equipment.

The inventory management inside of the app can be for equipment or services. This will house all the information you need related to audio-visual.

Sort of in line with inventory is the packages option. When you configure this option, it allows you to make a collection of inventory if you use that lineup every time. For instance, if you have a mic, stand, and cord that is your go-to, you can set up a collection to make those three selections a one-selection item.

Performance

The app runs how you would expect. When you click on something, that something loads. When you make changes, the changes happen at almost an instant. I know this can sound a little mundane, but please believe me- this is not always the case.

If you are doing more data-intensive operations, the performance in the app does not miss a beat. Overall, if there is going to be an issue you encounter with the application, speed will not be it.

User Interface

The user interface is two-fold. On one hand, the structure and organization are flawless. When you use the app, or you get the chance to speak with the company, you will quickly be able to tell the domain expertise that went into the development of this software.

On the other hand, if themes and animations are what you hang your hat on, this may be for someone else. This app is based on functionality.

With that being said, I do not believe the target audience is worried about “pretty colors,” and if you so happen to be, you must understand that the functionality and organization of the platform far outweigh the downsides. And besides, you’ll be hard-pressed trying to find another event management software with this level of detail on audio-visual.

Innovation

The bread and butter of this service is its ability to focus on the stationery venues. Whether that be hotels, convention centers, you name it, this event management tool is designed to solve a problem, and that problem is the lack of focus a lot of event management software has toward audio-visual services.

The platform supports resource management and even maintenance related to audio-visual.

Versus The Field

There is truly nothing like AVaStar on the market. If you search for audio-visual software, you are bombarded with posts that talk about event management software. And embedded in those posts are what I would consider “project management” for event management. It will manage all things considered for hosting an event, but things like audio-visual will be a non-priority. That turns into a problem down the line because if you speak with professionals in the field, audio-visual just cannot be an afterthought.

I am looking forward to seeing what competitors start to emerge in the field, but for now, AVaStar reigns supreme.

Ease Of Use

Structure. Structure. Structure. The app is so well thought out that if you were to be briefed on it, you would be able to set up the entire workflow fast.

Likes And Dislikes

I know this could sound a little crazy to say, but I really like the layout. As I said, the platform is organized in a way that if you are in the audio-visual business, everything will come naturally to you.

If I had to choose a dislike, it would be the lack of descriptions. You all know I love mini descriptions on apps. The company will sit down with you and demo the service. And the demo is excellent, but let’s say the person in the demo needs to onboard someone else a year later. Some of the details could get lost in translation.

At The End Of The Day…

If your team wants to step away from whiteboards and sticky posts and move to 2023, this product is for you. The detail and execution of AVaStar will work for your hotel and event center.

You never change things by fighting the existing reality. To change something, build a new model that makes the existing model obsolete.
